This policy explains how Ambs Solutions ("we", "us") collects, uses, stores and discloses personal information. It applies to this website and to the automation and digital services we provide. We handle personal information in accordance with the Privacy Act 2020 and its Information Privacy Principles.
1. Who we are
Ambs Solutions is an Auckland-based provider of AI automation and digital solutions for New Zealand businesses. You can contact us on +64 22 099 9578 or at hello@ambs.co.nz.
2. Information we collect
- Information you give us. Your name, business name, email address, phone number and anything you write in our contact form or tell us during an enquiry or engagement.
- Website preferences. Your chosen language and light or dark display mode, kept on your device for the current browser session only. They are not sent to us and are cleared when you close the browser.
- Contact form. When you send an enquiry, it is delivered to us by a form service (Web3Forms) and saved in our client system, which is hosted in Sydney, Australia.
- Booking a session. When you book through the calendar on our website, your name, email address, phone number and the time you choose go to our booking service, Zoho Bookings, so we can confirm and manage the booking.
- Chat helper. The questions you type into the “Ask us” chat are saved with the reply it gave, the page you were on and the chat’s language, so we can improve its answers. Email addresses and phone numbers in a question are hidden before it is saved. They are kept in our client system, which is hosted in Sydney, Australia, and are not linked to your name unless you also send us a message.
- Technical information. Like any website, our hosting provider receives your internet (IP) address and browser details when a page loads, and so does Google Fonts if you view the site in Chinese, Hindi or Punjabi.
- Website use. Google Analytics records which pages are visited and which buttons are pressed (see section 8).
- Approximate location. To show local weather in the page background, our website host (Vercel) works out your approximate city from your internet (IP) address, and our server asks a weather service (open-meteo.com) for the weather there, sending only the approximate map position, not your IP address. We do not store this. We never ask for or use GPS location.
- Client data during a project. When we build systems for you, we may need access to business information such as customer contact details, job records, quotes or invoices, so the automation can work.
3. Why we collect it
- To reply to your enquiry and arrange a session
- To scope, quote, build and support the systems you engage us for
- To send invoices and meet our tax and record-keeping obligations
- To improve our services
We do not sell personal information, and we do not add you to marketing lists without your agreement.
4. Who we share it with
We share personal information only where it is necessary to do the work or where the law requires it, including with:
- Software providers we use to run our business and deliver your systems, for example email, file storage, accounting, bookings, form delivery and database hosting
- Artificial intelligence providers, where processing text or data is part of the automation you have engaged us to build. We use their business or API plans, which do not use your information to train their models
- Website analytics (Google Analytics), which stores its data in the United States
- Our accountant or professional advisers, where relevant
- Government agencies or courts, where we are legally required to disclose
We do not use contractors or freelancers. Only the Ambs Solutions team works on client projects or has access to client information.
5. Information sent overseas
6. Storage and security
We store information in reputable cloud services protected by access controls and two-factor authentication. We limit access to what is needed to do the work. No system is perfectly secure, but we take reasonable steps to protect information from loss, misuse and unauthorised access, and we will notify you and the Office of the Privacy Commissioner if a privacy breach occurs that is likely to cause serious harm.
7. How long we keep it
If you send us an enquiry and we don't go on to work together, we delete your details 12 months after our last contact, or sooner if you ask. Client records are kept for the duration of our engagement and for at least seven years afterwards where tax law requires. When information is no longer needed, we delete it or make it non-identifiable.
8. Cookies and tracking
This website does not use advertising cookies or tracking pixels. It keeps your language and theme choice for the current browser session, and stores a copy of the site's own files so pages load faster. Neither contains personal information, and clearing your browser storage removes both.
We use Google Analytics to understand how people use the website, such as which pages are visited and which buttons are pressed. Google Analytics sets cookies and collects information like your approximate location, device and browser. It does not tell us who you are, and we do not use it for advertising. You can turn it off with Google's opt-out browser add-on or by blocking cookies in your browser.
9. Your rights
You have the right to ask what personal information we hold about you, to ask for a copy, and to ask us to correct it if it is wrong. Contact us on +64 22 099 9578 or at hello@ambs.co.nz and we will respond within 20 working days.
If you are not satisfied with how we have handled your information or your request, you can complain to the Office of the Privacy Commissioner at privacy.org.nz or on 0800 803 909.
10. Changes to this policy
We may update this policy as our services change. The current version always appears on this page with its last-updated date. If we make a significant change affecting existing clients, we will tell them directly.
