- A reminder by text or email the day before, with a one-tap confirm or reschedule, is the single biggest fix for no-shows most small businesses can make.
- Online booking from your website works around your real availability, buffers and staff, and sends every booking to the calendar you already use.
- We can set it up on the booking tool you already have, or help you pick one, and connect it to your invoicing and client list.
- Customers' names, numbers and appointment details are handled under the Privacy Act 2020 and never used to train anyone's AI model.
The cost of an empty slot
A no-show is not just a lost hour. It is the customer who could have had that slot, the staff member paid to wait, and the phone calls spent trying to fill it. For a clinic, a salon or a tradesperson with a full week, a handful of no-shows a week adds up to a serious amount over a year.
Most no-shows are not rude. People forget, or something comes up and ringing feels awkward. A reminder with an easy way to say "yes, still coming" or "can I move it" fixes most of them.
What we set up
Online booking from your website
A booking page that shows real availability, with the gaps and buffers you need between jobs, and the right staff member or service. Bookings go straight into the calendar you already use: Google Calendar, Outlook or your booking tool's own.
Confirmations and reminders
A confirmation the moment someone books. A reminder by text or email the day before, with a one-tap confirm or reschedule link. An optional second nudge for anyone who has not confirmed. Everything in your own words and, where you want, your customers' languages.
Connected to the rest of your business
A completed appointment can become a draft invoice in Xero, a row in your client list and a follow-up message a week later. That is where the app connections come in.
Who this is for
- Clinics and salons: physios, dentists, barbers, beauty and massage, where every slot counts
- Trades: site visits, quotes and small jobs booked from the website, with a text when the van is on its way
- Cleaning and home services: regular bookings with reminders and easy rescheduling
- Advisers: consultations booked straight into your calendar with the details you need up front
How it works
- Free session. We look at how bookings arrive now, where no-shows happen and what tools you already have.
- Written plan. The booking flow, the reminder timings and wording, and what connects to what. Yours to keep.
- Build and test. Usually one to two weeks. We test it with real bookings before it goes live.
- Tune it. Fixes and tweaks are free for the first 30 days, while we adjust timings to what works for your customers.
Your data and privacy
Bookings carry names, phone numbers and sometimes health details. They are handled under the Privacy Act 2020, data we store for you is hosted in New Zealand or Australia, and it is never used to train anyone's AI model. Text messages go through providers that keep data in New Zealand or Australia where we have the choice.
For the detail behind this, read our guide to reducing no-shows with booking reminders, or see what we do for clinics and salons.
Common questions
Will reminders actually reduce no-shows?
In most clinics, salons and trades businesses, yes. The common pattern is a text the day before with a confirm or reschedule link, and a second nudge a couple of hours out for the ones who have not confirmed. The empty slots do not vanish, but they drop a lot, and reschedules replace silent no-shows.
I already use a booking system. Do I have to change?
Usually not. Many booking tools can send reminders and export bookings. We set them up properly, connect them to your calendar, invoicing and client list, and fill the gaps they leave. If your tool really cannot do what you need, we will say so.
Can customers book in their own language?
Your booking page and confirmations can be in the languages your customers use, such as Chinese, Hindi or Punjabi, alongside English.
What about deposits and cancellations?
A booking page can take a deposit or card details to hold the slot, and apply your cancellation rules automatically. We help you decide what is fair for your customers and your business.
What does it cost?
It depends on the booking tool and what it needs to connect to, so we do not publish a price list. After the free session you get a written plan, and the scope and price are agreed in writing before any work starts.
