- Most owners already have the numbers; they are just spread across Xero, two spreadsheets and a booking tool. A dashboard brings them into one place that updates itself.
- A weekly email with five or six numbers and a one-line note on each is read far more often than a dashboard nobody opens. We usually set up both.
- Everything is built in your own accounts (Xero, Google Sheets or Excel), so the dashboard is yours and keeps working without us.
- Data handled under the Privacy Act 2020, hosted in New Zealand or Australia, never used to train anyone's AI model.
Why the numbers get skipped
Every owner means to look at the numbers. The trouble is that looking means opening Xero, then a spreadsheet, then the booking tool, and adding things up in your head. On a busy week that gets pushed to the weekend, and on a busier one it gets skipped. Decisions get made on a feeling instead.
A dashboard that updates itself, and a short email that arrives before the week starts, turn that into a two-minute habit.
What we build
A live dashboard
One page, usually a tab in Google Sheets or Excel, that shows the numbers you chose, updated from Xero, your sheets and your booking tool without anyone typing. This week against last week, and against the same week last year once you have it. Opens on a phone.
A weekly numbers email
Monday morning, five or six numbers with a one-line note on each: "Sales $12,400, up 8% on last week. Three invoices overdue, $4,200. Eleven bookings this week, two unconfirmed." Short enough to read at the lights. It can go to Teams or Google Chat instead of email if that is where you look.
Alerts for the things that matter
A message when cash drops below a line you set, when an invoice goes 14 days overdue, or when a day's bookings are half empty. Only the ones you ask for.
Numbers we usually include
- Sales and invoices issued this week, this month
- Cash in the bank, and what is due in and out in the next two weeks
- Invoices owing and overdue, with the biggest three named
- Quotes sent, accepted and the win rate
- Jobs or bookings ahead, and no-shows last week
- Website enquiries and where they came from
How it works
- Free session. We ask what you look at now, what you wish you knew, and where each number lives.
- Written plan. The numbers, the sources, and what the dashboard and the email will look like. Yours to keep.
- Build and test. Usually one to two weeks, in your own accounts, checked against Xero so the numbers match.
- Refine. Fixes and tweaks are free for the first 30 days, while we add the number you realise you also want.
Your data and privacy
Dashboards show financial information, so access matters. The dashboard lives in your own account, you decide who can open it, and data we store for you is hosted in New Zealand or Australia under the Privacy Act 2020. It is never used to train anyone's AI model.
For a walk-through of what to track, read our guide to a weekly business numbers dashboard. If you would rather have the numbers inside a staff or customer portal, we build those too.
Common questions
Which numbers should a small business watch each week?
It depends on the business, but a good starting set is: sales this week against last, cash in the bank, invoices owing and overdue, jobs or bookings ahead, and one number for the thing you are trying to fix, such as no-shows or quote win rate. We help you pick in the free session.
Where does the data come from?
Xero for sales, cash and invoices. Your spreadsheets or job tool for jobs and quotes. Your booking tool for appointments and no-shows. Google Analytics for website enquiries, if you want it. We connect what you already have rather than asking you to enter numbers again.
Do I need Power BI or another dashboard product?
Not usually. For most small businesses a well-built Google Sheet or Excel workbook with a dashboard tab, kept up to date automatically, does the job, costs nothing extra and is easy to change. We will tell you if your needs really call for more.
Can my accountant or team see it?
Yes. You decide who sees what. A staff member can see jobs and bookings without seeing cash; your accountant can see everything.
What does it cost?
It depends on how many sources and numbers are involved, so we do not publish a price list. After the free session you get a written plan, and the scope and price are agreed in writing before any work starts.
